What personal information we collect
We collect only the personal information reasonably required for us to provide accounting, taxation and related professional services to you. This will usually include: your name and address, responses from your previous accountants (if applicable), background checks obtained during client identification procedures, the terms of our contract with you, payroll details, tax and national insurance information, pensions information, details of your income, expenses, profits, assets and liabilities necessary for the performance of our work, information in the public domain relevant to our contract with you, correspondence and any other information that you have given to us relevant to our work.
Where we collect personal information from
We collect information from you, your previous accountants (if applicable), publicly available records, tax and government authorities and information collected during the normal performance of our work on your behalf.
How we use your personal information
We use your personal information for a range of purposes related to our contract with you including:
- making decisions about contracting with you
- ensuring compliance with applicable regulatory standards
- performing obligations/exercising rights under our contract with you
- performing obligations/exercising rights imposed/conferred by law in connection with our contract
- otherwise managing/administering our contractual relationship and dealing with any issues arising
- meeting other legal responsibilities
- understanding needs and how they may be met
- maintaining records
- processing financial transactions
- preventing/detecting crime, fraud or corruption
Who we share your personal information with
We may share your personal information with tax and revenue authorities, law enforcement and other regulatory, quasi-governmental and governmental bodies and any other person to whom we are legally obliged to disclose personal information, any person who provides services to us (for instance our employees or other providers of professional services), professional advisors and anyone who you ask us to share the data with.
If you do not provide your personal information
If you do not provide your personal information to us we will be unable to act as accountants on your behalf, for instance we will be unable to prepare your accounts, submit your tax returns, process your payroll or VAT returns etc. without your personal information.
How long we retain your personal information for
We usually retain your personal information from before your contract with us until six months after your contract with us ends. This allows time for us to complete end of contract procedures including responding to your new accountants (if applicable) or dealing with any further correspondence, for instance from HMRC. Where we have a legal or regulatory duty to hold your information for a longer period we will do so, for instance where we process a tax return or payroll on your behalf and there is a requirement to retain that information for a number of years. We may occasionally retain other limited personal information for longer than six months after your contract ends where there is a legal or regulatory requirement for us to do so. We will not retain your personal information for longer than we reasonably require it and we will confidentially destroy all personal information after that time.

Your rights
Access to your information – You have the right to request a copy of the personal information about you that we hold.
Correcting your information – We want to make sure that your personal information is accurate, complete and up to date and you may ask us to correct any personal information about you that you believe does not meet these standards.
Deletion of your information – You have the right to ask us to delete personal information about you where:

Objecting to how we may use your information – You have the right at any time to require us to stop using your personal information for direct marketing purposes. In addition, where we use your personal information to perform tasks carried out in the public interest then, if you ask us to, we will stop using that personal information unless there are overriding legitimate grounds to continue.
Restricting how we may use your information – In some cases, you may ask us to restrict how we use your personal information. This right might apply, for example, where we are checking the accuracy of personal information about you that we hold or assessing the validity of any objection you have made to our use of your information. The right might also apply where this is no longer a basis for using your personal information but you don't want us to delete the data. Where this right is validly exercised, we may only use the relevant personal information with your consent for legal claims or where there are other public interest grounds to do so.
Withdrawing consent to using your information – Where we use your personal information with your consent you may withdraw that consent at any time and we will stop using your personal information for the purposes for which consent was given.
